Planning events

Planning events requires taking into account accessibility, inclusion, and safety issues. A number of campus policies apply. Here are five areas every leader should be familiar with.

  • Campus events, whether in-person or remote, must be planned with accessibility considerations in mind. The Campus Events section of the website of the Office of Disability Access & Compliance has a wealth of information for campus event planners.
  • Departmentally-organized events are not subject to the campus Major events policy, but other major events are. Make sure you know the rules. UCPD can assist in assessing security needs and concerns; for more information, visit the Special Events and Security Assessments section of the UCPD website.
  • Become familiar with the rules about serving alcohol at events.
  • Make sure you are up to date with the rules on outside contracting, which can include catering.
  • When scheduling events, take family-friendly considerations into account. Obligatory events held during school dropoff and pickup times, or in the evening or on weekends, can create barriers for participants who are caring for dependents.
